Job Description:

Role Purpose

The Assistant Supervisor supports the Manager - Fleet Management in running QMMF's vehicle fleet safely, legally, and cost-effectively. This covers daily operations, maintenance coordination, driver supervision, regulatory compliance, and fleet readiness for major events. The role acts as the Manager's deputy in day-to-day matters and is the first point of contact for fleet requests across the organization.

Key Responsibilities

Fleet Operations

  • Plan and allocate vehicles and drivers against daily operational needs and department requests.
  • Coordinate fleet deployment for race weekends, test days, and national events, including support, recovery, and staff transport vehicles.
  • Monitor vehicle usage, movement logs, and fuel consumption, and follow up on irregularities.
  • Maintain an up-to-date record of all fleet assets, their condition, location, and assigned users.

Maintenance and Asset Care

  • Schedule preventive maintenance and servicing in line with manufacturer requirements and internal plans.
  • Coordinate repairs with workshops, dealers, and service providers, and check that work is completed to standard.
  • Inspect vehicles regularly and report defects, damage, and safety concerns promptly.
  • Track maintenance history, downtime, and repair costs for each vehicle.

Compliance and Documentation

  • Keep vehicle registration (Istimara), technical inspection, and insurance current for the full fleet.
  • Manage accident and damage reporting, including coordination with the Traffic Department and insurers.
  • Track traffic violations, assign them to responsible drivers or users, and follow through to closure.
  • Make sure fleet operations comply with Qatar traffic law, QMMF policies, and health and safety standards.

Driver and Team Supervision

  • Supervise drivers and fleet support staff on a daily basis, including duty rosters and attendance.
  • Check that drivers hold valid licences for the vehicle categories they operate.
  • Identify training needs and support safe driving practices across the team.
  • Handle routine conduct and performance issues and escalate to the Manager where needed.

Cost Control and Reporting

  • Support preparation of the annual fleet budget and monitor spend against it.
  • Review supplier quotations and invoices for fuel, maintenance, parts, and rentals.
  • Prepare regular reports on fleet availability, utilization, costs, and compliance status.
  • Recommend improvements, vehicle replacements, and disposals based on cost and condition data.

Other Duties

  • Deputize for the Manager - Fleet Management when required.
  • Carry out other related duties as assigned by the line manager.

Qualifications and Experience

  • Diploma or Bachelor's degree in Logistics, Transport Management, Mechanical or Automotive Engineering, or a related field.
  • Minimum 5 years of experience in fleet or transport operations, with at least 2 years in a supervisory or team lead role.
  • Experience in Qatar or the wider GCC, with working knowledge of local vehicle registration, inspection, and traffic procedures.
  • Valid Qatar driving licence (light vehicle as a minimum; heavy vehicle licence is an advantage).
  • Experience supporting large-scale events, motorsport, or venue operations is an advantage.

Skills and Competencies

  • Solid understanding of vehicle maintenance, servicing cycles, and fleet lifecycle management.
  • Working knowledge of fleet management or GPS tracking systems and MS Excel.
  • Ability to plan resources under tight timelines, particularly during event periods.
  • Clear communicator able to deal with drivers, workshops, suppliers, and internal departments.
  • Organized, detail-focused, and reliable with records and documentation.
  • Fluency in English is required; Arabic is an advantage.

Working Conditions

The role involves fieldwork across the circuit and other sites, and working extended hours, weekends, and public holidays during event periods.
